Fall 5K Fun Run – Volunteer Guide

Runner Check-In: 10:00–10:45 AM

This guide includes all volunteer instructions, SignUpGenius role descriptions, safety procedures, PTO Booth expectations, and event logistics.

Volunteer Overview

Volunteer Signups (via SignUpGenius)

All volunteer roles are registered through SignUpGenius. Roles include:

  • Course Setup

  • Check-In & Bib Handout

  • Course Marshals

  • Crossing Helpers

  • Water Station

  • Face Painting

Volunteers may sign up for one or more 30–60 minute shifts.

 

Who Can Volunteer

  • Parents and guardians

  • GFES staff

  • Students (Grade 5+)

  • Community members

 

Volunteer Perks

  • Short, flexible shifts

  • No experience needed

  • PTO officer support

  • Student service hours available

Admission for Runners

$2 per runner

  • Top 10 finishers receive a medal

  • Includes post-race celebration

Payment instructions is under PTO Booth.

Before You Arrive

  • Dress appropriately for weather

  • Wear comfortable shoes

  • Bring water if desired

  • Plan to stay for full shift

  • Restrooms inside the school

Parking

Park in:

  • Front school lot

  • Glen Forest Drive

  • Curbside overflow

Do not block bus lanes or entrances.

Volunteer Check-In

Time: 15 minutes before shift
Location: Volunteer Table (Front Entrance)

Volunteers will:

  • Receive a volunteer badge

  • Confirm their SignUpGenius role

  • Review responsibilities

  • Provide a phone number for communication

Event Schedule

9:30 AM – Volunteer Check-In + Setup
10:00–10:45 AM – Runner Check-In + Bib Pickup
11:00 AM – Race Start
11:45 AM – Awards + Celebration
12:00 PM – Cleanup

Volunteer Role Descriptions

Course Setup (9:15–10:15 AM)

Slots: 6

  • Set up cones, arrows, signs

  • Help set up tables & water station

  • Keep pathways clear

Check-In & Bib Handout (10:00–11:00 AM)

Slots: 6

  • Welcome runners

  • Look up names

  • Hand out bibs

  • Accept $2 cash/card payments

  • Direct families to the start line

Course Marshals (11:00–11:45 AM)

Slots: 5

  • Stand at assigned route checkpoints

  • Guide runners

  • Monitor safety and report concerns

Crossing Helpers (11:00–11:45 AM)

Slots: 4

  • Assist at street crossings

  • Support safe crossings

  • Work alongside police (police direct traffic)

Water Station (11:00–11:45 AM)

Slots: 6

  • Pour water cups

  • Distribute to runners

  • Clean area after last runner passes

Face Painting (10:30 AM–12:00 PM)

Slots: 2

  • Provide simple face painting

  • Keep brushes/supplies clean

 

First Aid Table (10:30 AM–12:00 PM)

Slots: 2 – CPR/First Aid Certified Only

  • Provide basic first aid

  • Contact PTO leads or staff for help

  • Call 911 only if necessary

 

Course Sweep / Last-Runner Buddy (11:00–11:45 AM)

Slots: 2

  • Walk/jog behind the last runner

  • Ensure no one is left behind

  • Report issues to PTO leads

 

Finish Line Crew (11:15 AM–12:00 PM)

Slots: 4

  • Manage finish chute

  • Record simple finishing times

  • Hand out ribbons/medals

Photographer (10:30 AM–12:00 PM)

Slots: 2

  • Capture start, finish, and candid moments

  • Avoid children who opt out

  • Upload pictures to PTO shared folder

  • Do not post to personal social media

 

Cleanup Crew (12:00–12:30 PM)

Slots: 6

  • Collect cones, tables, trash

  • Reset event area

  • Return all items to PTO Tent

 

Police Support – Donut & Coffee Pickup (10:00 AM)

Slots: 1

  • Pick up donuts and coffee for onsite officers

  • Deliver by 10:30 AM

  • PTO reimburses/provides funds

 

Mascot Performer (10:30 AM–12:00 PM)

Slots: 1

  • Wear Eagle mascot suit

  • Greet families, wave, pose for photos

  • Move slowly and take breaks every 15–20 minutes

 

Mascot Helper (10:30 AM–12:00 PM)

Slots: 1

  • Stay with mascot at all times

  • Guide safely around crowds

  • Help with breaks, hydration, visibility

 

PTO Booth Information Guide (10:00 AM–12:00 PM)

Slots: 1–2

  • Answer questions

  • Direct families to event areas

  • Help with overflow check-in

  • Provide membership info

  • Support volunteers checking in

Booth volunteers should know:

  • Event schedule

  • Course map

  • Restroom locations

  • Lost child protocol

  • Role locations

 

Payment Handling at Booth:

  • Square POS

  • Tablet

  • Cash box

 

Used for:

  • $2 runner admission

  • Raffle tickets

  • Donations

Devices/cash remain at PTO tent.

Safety Procedures

Lost Child Procedure

  1. Stay with the child

  2. Notify PTO leads immediately

  3. Bring child to the PTO Tent

  4. Wait for verified adult pickup

Emergency Chain

PTO Leads → School Staff → Police → 911 (if needed)

Course Information

  • Start/Finish: front loop

  • Turnaround: 6th & Montague

  • Water station: 6th & Merritt

  • Stroller-friendly

  • No bikes, scooters, or pets
